Approvals and the client portal
How replies, posts and profile changes are approved, and what your clients see.
What needs approval
Three things always need a person to approve them before anything can go to Google: review replies, posts and profile changes. Edits to an already published post need approval too. Everything else you do happens straight away.
The Approvals page lists everything waiting, in tabs for Replies, Posts, Profile changes and Post edits. Pick an item to see it and its checks, then approve it or send it back with a reason. Keyboard keys A (approve), S (send back), J (next) and K (previous) speed this up. When several items are ready you can approve them together.
Approving does not publish. A manager, admin or owner still publishes or schedules it.
Invite a client to approve
- Open Settings, then Team and choose Invite someone.
- Pick Client approver (can approve) or Client viewer (read only), and the client they belong to.
- Send the invitation. If email is not set up, the page shows a link once. Copy it and send it yourself.
Client logins land on the client portal instead of the full app.
What clients see in the portal
- What is waiting for their approval, with who drafted it.
- How their listings did over the last 30 days.
- What was published recently.
- A read-only list of all their Google reviews, filterable by location, needs a reply, and 1 to 2 stars.
Approval emails and notifications link straight to the item. Email only goes out once an email provider is set up. Until then, in-app notifications still work.
Your agency branding
Owners and admins set the agency name, logo and colours under Settings, then Branding. Clients see them in the portal and in emails.
