Google Business Profile guardrails: rules and approval before anything posts

Guardrails are rules that check every reply, post and profile edit before anyone can approve it, then run again just before it is sent. OpenGMB ships 39 rules in five packs. A block stops the item. A warning needs a person to acknowledge it. The rules are plain pattern checks, with no AI.

How do guardrails work in OpenGMB?

Every reply, post and profile edit takes the same path.

  1. A draft is written

You write it, start from a template, use the built-in AI or ask Claude over MCP. A draft from Claude goes through the same rules and the same approval step as one you type.

  2. The rules run

The universal rules always run. Healthcare and legal clients add their own pack, and posts and profile edits have a pack of their own. OpenGMB has 39 rules in all.

  3. Approval, then the rules run again

Someone with approval rights approves the draft. Just before it is sent to Google, the rules run once more, so a late edit cannot skip them.

What do the packs check?

Five packs, each for a different kind of content.

Universal (10 rules)

Runs on every reply. Links, email addresses and hashtags are blocked, and so are offers in replies. It also checks length, repeated replies and the writing style.

Healthcare (11 rules)

Blocks a reply that confirms a care relationship, names the reviewer, a provider or a staff member, or mentions a condition, treatment or date. A reply to a 1 to 3 star review must carry the fixed privacy line.

Legal (4 rules)

Blocks a reply that confirms a client relationship, discusses case facts or promises results, and warns about testimonial wording. The legal pack's wording is waiting for a lawyer's review.

Posts (7 rules)

Checks the summary, phone numbers, length, the image, the button, and event and offer details. The universal rules for links and emails run on posts too.

Profile (7 rules)

Checks the address, store code, description length, hours and phone numbers. An address change shows a warning because the location may need to be verified again.

Built in: what happens when a rule fires?

Each rule is either a block or a warning, and the item shows which rule fired and why.

Blocks and warnings

A block stops the draft. Nobody can approve a blocked draft until the text changes.

There is one exception. On a healthcare client, an owner or admin can turn the name, condition and date rules (H2) into warnings.

A warning does not stop anything, but it has to be acknowledged before the draft can go on.

Who approves what

Replies need approval, unless an owner or admin turns on the star rule for 4- and 5-star reviews. Replies to 1 to 3 star reviews always wait for a person.

Posts always need approval, and so do profile changes and edits to posts that are already live.

Approving does not send anything by itself. Publishing a reply and applying a profile change are separate steps.

Reply to a 2-star review for a physical therapy clinicBlocked

Sorry your appointment for back pain ran late. We hope your recovery is going well.

  • H1 (blocks publishing) Reply confirms or implies a care relationship with the reviewer.
  • H2.clinical (blocks publishing) Reply mentions a condition, treatment, accident, attorney, insurance or billing term.
  • H4.privacy-line (blocks publishing) 1-3 star replies must include the privacy line: "To protect everyone's privacy we can't discuss details here, but we'd like to hear from you."

What can the rules not do?

They are word lists and patterns, so they have limits. That is why approval still matters.

  • The rules do not understand meaning. A sentence that says a clinic does not treat back pain is blocked the same as one that says it did.

  • A paraphrase that is not in a word list gets through, and so does a web address spelled out in words.

  • The rules check the text. They cannot tell whether a claim in your reply is true.

Who uses guardrails: healthcare practices and agencies

Physical therapy clinic owner

The owner picks the healthcare profile. Replies to 4- and 5-star reviews are off by default, and a draft that names a condition or repeats a reviewer's words is blocked.

Each reply that is left needs approval, and the fixed privacy line is a rule, not something to remember.

Agency managing several clients

An agency runs the same rule packs for every client, and each client has its own profile and approvers. The rules catch the links and phone numbers a rushed draft picks up.

The audit log shows who approved what for which client. One price covers the account.

Which credits do guardrails use?

As of 2026-10-24, OpenGMB costs $10 a month per account. The $10 is usage credit, and only AI drafts and rank scans use it.

Questions about Google Business Profile guardrails

What is a Google Business Profile guardrail?

It is a rule that checks a reply, post or profile edit before it can go to Google. A rule can block the item or warn about it. OpenGMB has 39 rules in five packs.

Can someone override a block?

Nobody can approve a blocked draft. The one exception is the name, condition and date rules (H2) on a healthcare client, which an owner or admin can turn into warnings. A warning still has to be acknowledged.

Do the guardrails use AI?

No. The rules are word lists and patterns that run the same way every time, with no AI and no network call. That makes them predictable, and it also means they can miss a paraphrase.

Which industries have rule packs?

Every account gets the universal pack. Healthcare clients add a healthcare pack and law firms add a legal pack. The legal pack's wording is waiting for a lawyer's review.

Do auto-approved replies skip the rules?

No. The rules run first, and the star rule only applies to a draft that passed them. A draft with a warning still has to be acknowledged.
